I. Background

WWF Thailand is part of the global WWF network dedicated to conservation, biodiversity protection, and sustainable development. WWF Thailand works with government agencies, civil society, communities, and private sector partners to address key environmental challenges, including freshwater conservation, wildlife protection, forest conservation, and sustainable ocean management.

As WWF Thailand continues to strengthen its operations and governance framework, the Administration Manager plays a key role in ensuring effective People and Culture operations and administrative management. The role contributes to organizational effectiveness by ensuring compliance with labour laws, government regulations, and WWF International standards, while maintaining robust P&C systems, staff support services, and efficient office administration.

II. Major Duties and Responsibilities:

  • Provide leadership and operational oversight to the P&C and Admin Officer and ensure effective delivery of P&C and administrative services.
  • Assign responsibilities and monitor progress to ensure timely completion of operational and compliance tasks.
  • Provide operational updates and recommendations to senior management on P&C, compliance and administrative matters.

Administrative Management and Supervision
• Oversee administrative operations to ensure effective and efficient office management.
• Lead the development and enforcement of comprehensive administrative frameworks, policies, and best practices aligned with organizational strategy.
• Provide supervision and guidance to administrative staff and office maid also ensure timely completion of tasks.
• Assign responsibilities, monitor progress, and ensure service delivery standards are met

Office Operations and Facilities Management
• Oversee office facilities management, workspace planning, and coordination of office services carried out by the Admin Officer.
• Provide guidance and support to ensure office environment meets operational needs and supports staff productivity.
• Support coordination with vendors and service providers when required.

Government Compliance and Office Registration
• Serve as focal point for office registration and regulatory compliance.
• Lead coordination of office registration renewal and required documentation with government authorities including Ministry of Labour.
• Coordinate and guide the Admin Officer in preparing and submitting government reports, and maintain communication with relevant authorities.

Budget and Financial Coordination
• Support administrative financial processes including review of vendor quotations and cost estimates.
• Prepare justification documentation for procurement and contract related matters.
• Coordinate with Finance on administrative payments and related processes.

Logistics and Operational Support
• Provide logistical support for organizational activities, expatriate staff, and senior management.
• Coordinate travel related arrangements including travel insurance and required documentation

Meeting and Organizational Coordination
• Coordinate Senior Management Team and internal meetings including scheduling, logistics, and agenda preparation.
• Prepare meeting minutes and track follow up actions.
• Oversee and provide support to the Admin Officer in organizing workshops, events, and internal activities when required.

Leadership and Operational Support
• Act as key focal point for P&C and administrative operations and provide operational support to senior management.
• Support decision making by providing updates, recommendations, and coordination across functions

Office Health and Safety
• Ensure health and safety practices are in place and aligned with organizational standards and compliance requirements, including documentation and audit readiness.

P&C Operations and Advisory
• Provide P&C operational support and advisory services to management and staff on P&C policies, procedures, and employment related matters.
• Ensure P&C processes are implemented consistently and in line with labour law and WWF standards.
• Manage P&C documentation including employment letters, staff records, and official correspondence

Compensation and Benefits, Ends to Ends Operation
• Manage payroll process end to end in coordination with payroll provider and Finance to ensure accuracy and timeliness.
• Coordinate payroll review, payment requests, and statutory submissions including tax, social security, and provident fund.
• Administer compensation related matters including acting allowance, special payments, and payroll adjustments.
• Provide guidance to staff and management on compensation, taxation, and benefits matters.

Benefits Administration and Staff Support, Ends to Ends Operation
• Serve as focal point for staff benefits including insurance, provident fund, and social security.
• Coordinate insurance arrangements and claims support with providers.
• Provide support and guidance to staff on benefits processes and documentation.

Legal Compliance and Expatriate Services, Ends to Ends and Supervisory
• Serve as focal point for expatriate employment including visa and work permit processes.
• Coordinate with government authorities, legal advisors, and service providers to ensure compliance with immigration and labour regulations.
• Provide visa support for international visitors and consultants when required.
• Monitor legal and regulatory requirements and provide updates to management.

Employee Relations and Investigations, Ends to Ends Support Role
• Support and coordinate employee relations matters including disciplinary processes, investigations, and sensitive staff cases.
• Ensure proper documentation, confidentiality, and compliance with P&C procedures.

P&C Governance, Audit, and Compliance, Ends to Ends Operation
• Lead coordination of internal audit requirements related to P&C including preparation of documentation, responses, and liaison with auditors.
• Ensure P&C records and documentation are accurate and compliant with legal and organizational standards.
• Support continuous improvement of P&C policies, procedures, and compliance frameworks

P&C Project Initiatives and Implementation
• Collaborate closely with the Head of P&C to drive new initiatives and P&C projects in alignment with regional and global directions, as well as local regulations; including coordination, progress tracking, updates, and proper documentation.

Procurement and Contract Support, Ends to Ends Operation
• Support procurement and contract processes related to P&C services including preparation of justification documents and coordination with Finance and Procurement.
• Coordinate with external vendors including payroll providers, insurance companies, and legal advisors.

Staff Wellbeing and Engagement, Supporting Role
• Support implementation of staff wellbeing and engagement initiatives including staff activities and programs.
• Monitor staff wellbeing support services and coordinate renewal arrangements where required

III. Entry Qualifications, Skills & Experience:

  • A bachelor’s degree in business administration, management, or a related field is required.
  • At least 7 years of experience in P&C management and administrative roles, with a proven track record of managing team members.
  • Proven experience in overseeing office operations and staff management.
  • Familiarity with non-profit organizations or environmental conservation is a plus.
  • Strong leadership and team management abilities.
  • Ability to motivate and collaborate with diverse teams and stakeholders.
  • Proficiency in maintaining and improving office processes and workflows.
  • Excellent written and verbal communication skills in Thai and English.
  • Proactive approach to addressing issues and improving office efficiency.
  • Thai nationality or valid work permit in Thailand preferred.

• Government agencies including Ministry of Labour and other regulatory authorities.
• Law firms and immigration advisors.
• Payroll outsourcing providers and benefit administrators.
• Vendors and service providers supporting office operations.
