I. Background and Summary
WWF Thailand is a country member of the WWF Network’s Southeast Asia Region (Laos, Cambodia, Vietnam, Thailand and Myanmar). Following a strong track record of conservation delivery over the last 20 years, Southeast Asia has embarked on a new strategic plan. The new strategic plan outlines changes in the way Southeast Asia operates, both in conservation and operation aspects.
The P&C Senior Specialist will manage core People & Culture functions, including recruitment and onboarding, P&C administration and compliance, performance and talent management, P&C systems, and employee relations. It ensures the processes comply with policies and labor laws and serves as the focal point for P&C IS. The position also supports employee engagement, disciplinary and grievance processes, compensation activities, and coordinates training to ensure efficient, consistent, and well‑governed P&C operations aligned with organizational goals.
II. Major Duties and Responsibilities [100%]
- Talent Acquisition, Onboarding and Offboarding [Ends to Ends Operation]
- Manage the recruitment and selection of all staff at country programmes to ensure the compliance of recruitment and selection policies and procedures. This includes collaboration with Legal counsel to ensure staff hiring conditions and agreement are fully complied with WWF TH P&C Policies and local labour laws, the provision of logistic support in the recruitment and selection of regional staff conducted in Thailand
- Manage an ends-to-ends onboarding, offboarding and orientation programs for new staff, including providing P&C systems, policies, and procedures orientation, arranging onboarding plans and logistics, and ensuring new staff receive adequate information and support to integrate into the organization.
- Support the manager for the job evaluation process using Mercer WIN, coordinating and supporting related activities as required ensure an inviting of at least 3 evaluators as per JE process for a fairness judgement.
- Conduct exit interviews with leaving staff to get comments, feedbacks, updates staff matter and relevant files and suggestions to facilitate organisation improvement.
- P&C Administration [Ends to Ends Operation]
- Handle staff contract renewal process end-to-end, including obtaining necessary approvals.
- Maintain and update staff personnel soft files, recruitment documents, recruitment reports, and organizational charts for proper document storage and retrieval in the internal P&C shared drive.
- Collect and store timesheet for future audit reference.
- Talent & Performance Management [Supporting & Leading role]
- Support Head of People & Culture for managing, developing and succession management planning for key functional staff at country programme
- Monitor and provide support to managers and staff in performance appraisal to make sure the completeness of performance appraisal as scheduled, and provide comments to managers and staff on performance appraisal results if needed
- Partner with managers and employees to design tailored IDPs that bridge skill gaps and accelerate career growth.
- HRIS Management and Employee Services [Ends to Ends Operation, Leading]
- Responsible as HRIS focal point for P&C and admin applications, such as Canopy system, Leave Online, P&C Oracle, and finger scan system.
- Develop, monitor, review and update the P&C system and activity work plan with good communication to all staff to ensure staff welfare and that the organisation attains its objectives as cost-effectively and efficiently as possible
- Employee Engagement and P&C Compliance [Supporting, Ends to Ends Role]
- Encourage and maintain sound employee relations by undertaking all necessary consultation and negotiation with staff on personnel issues to ensure that harmonious relationships and effective communications are maintained between management and staff
- Support managers at disciplinary or grievance hearings, or in the event of collective disputes
- Training & Development (Supporting Role – End-to-End Operations)
- Work closely with the Head of P&C to systematically enhance organizational capabilities through conducting training needs assessments, designing learning programs, delivering training, and supporting evaluation, analysis, and documentation processes.
- P&C Project Initiatives and Implementation
- Collaborate closely with the Head of P&C to drive new initiatives and P&C projects in alignment with regional and global directions, as well as local regulations; including coordination, progress tracking, updates, and proper documentation.
- Culture and Engagement
- Work closely with the Head of P&C to drive and cultivate employee engagement, ensuring the effective implementation and reinforcement of WWF culture and values across the organization.
- Other P&C Tasks
- Support and participate in salary-related processes, including salary increase calculations, providing required data and supporting information, and assisting the team with other related compensation tasks as needed.
- Oversee the coordination and logistic arrangement for all training programmes, and training evaluation and feedback analysis to ensure all staff are trained and developed to the standards required
II. Required Qualifications:
Education and Qualification
- Bachelor’s degree in Human Resources Management, Organisation Development or in relevant fields
- Basic knowledge of environmental and conservation issues in Thailand
- Thorough understanding of laws and regulations on labor, health and safety
- Knowledge of P&C M practices in Thailand
- 7 years practical experience in human resources management,
- Experience in implementing and monitoring the compliance of P&C system, policies and procedures, preferably the context of an international organisation
- Experience of working in multi-cultural environment
- Fluency in written and spoken English and native language, Proficiency in MS Office
- Proficiency in P&C IS
III. Working Relationships
- Internal: WWF Thailand and WWF Network
- External: Liaises with P&C professionals in the country, P&C service providers and government bodies. Engages with other organisations on P&C systems and practices for learning and sharing, external employment agencies, stakeholders.
