The PSC-TVA team is excited to announce a major milestone in our sustainability efforts. We are signing a commitment with two major delivery platforms under the Plastic ACTion (PACT) initiative, aimed at achieving the ‘No Plastic in Nature’ goal. This commitment is a part of the sectoral collaboration. To announce this significant partnership, we are organizing a media event and propose hiring a media agency and/or event organizer to ensure its success and maximize media coverage.

Summary and scope of work

We are seeking a PR agency or media event organization to support PSC-TVA team in organizing a press briefing event for the commitment signing between WWF, LINEMAN, and Foodpanda. This event aims to celebrate the business-led initiatives targeting the audience at central Thailand by announcing the partnership between LINEMAN and Foodpanda in Bangkok, as it marks a major milestone for the PSC-TVA project, as we welcome two major delivery platforms to lead the change in sustainability. The reason for engaging a PR agency is to use an experienced team to develop and execute campaigns tailored specifically to our needs. This will help us reach the right audience and enhance our visibility for this event. With a comprehensive PR team, we aim to elevate the publicity of the project from a local focus to a national scale, positioning it as one of WWF-TH’s major initiatives.

About WWF Plastic Smart Cities - TVA

Plastic Smart Cities is a WWF initiative that supports a no plastic in nature agenda with a goal to reduce plastic leakage into nature by 30% in the near term, and achieving no plastics in nature by 2030. The initiative employs a comprehensive strategy that engages all actors – government, businesses, and the public – to examine every aspect of the life cycle of any given plastic material and identify key elements ripe for intervention Our main goals are to decrease plastic leakage by reducing plastic volume, increasing waste collection, and improving city recovery rates in the target cities.

In Thailand, the project targets plastic waste leaking into the oceans in four cities: Surat Thani, Songkhla, Hat Yai, and Samui Island.

Plastic ACTion (PACT) is a business initiative, under Plastic Smart Cities, that aims to reduce waste and move towards a circular economy. The program empowers companies to adapt their business models and processes to be more resource-efficient.

Background of assignment

The food delivery industry in Thailand has experienced rapid growth, especially during and after the COVID-19 pandemic. This increase has led to a significant rise in plastic waste from utensils and packaging, posing a serious environmental concern. Recognizing this challenge, WWF, LINEMAN, and Foodpanda are committed to finding and implementing solutions to reduce plastic leakage into nature.

 

This assignment aims to showcase the strong commitment and partnership between WWF, LINEMAN, and Foodpanda, as well as the innovative solutions they are developing for a sustainable future. The selected PR agency will be provided with all necessary materials, including project data and information about the involved parties, to create a PR plan that is both media-friendly and true to our mission.

 

We seek a PR agency with experience in PR events, capable of crafting impactful campaigns and effectively communicating our sustainability initiatives. The ideal agency should excel in stakeholder coordination and managing high-profile events.

Required Skills and Experience

  • Media identification, target media list development
  • Press kit development (TH/EN), including press releases, executive bio, factsheet (if applicable)
  • Executive briefing and development of talking points with anticipated media questions and proposed answers
  • Third-party coordination and supervision e.g. event organizer, photographer (if needed)
  • Media invitation, RSVP and onsite support
  • Press release distribution
  • Media enquiries / Q&As handling
  • Post-event report

Functional competencies

  • Develop strategy and PR plans for the event
    • Formulate a comprehensive event strategy with clear objectives and key messages
    • Create detailed public relations plans, including media outreach and press materials.
    • Develop contingency plans for potential issues
  • Produce high-quality, engaging content for various media platforms, which also aligns with the event initiatives and goals
  • Identify and engage key media contacts and influencers
  • Maintain engagement with media both pre-event and post-event for continued coverage
  • Oversee all logistical aspects, including transportation and on-site management

Deliverables

  • Press release (TH/EN) distributed on the date of the event
  • Guarantee a minimum of 10-15 media representatives at the event, ensuring a mix of print, broadcast, and online media.
  • Secure at least 20 media coverages across various platforms including newspapers, magazines, TV channels, radio stations, and prominent online news portals.
  • Post-event monitoring and reporting, which should include coverage report, detailing all media coverage, including the type of media, publication date, and reach, a sentiment report, analysis of the media coverage to determine the overall sentiment (positive, neutral, or negative) towards the event and media analysis, an in-depth analysis of the media coverage, highlighting key messages, media impact, and areas of improvement.
  • Provide high-resolution images capturing key moments of the event, ensuring a minimum of 50 high-quality photos.
  • Deliver high-definition video footage of the event, including a full event recording and a highlight reel (3-5 minutes). The footage should be edited to include event highlights, interviews, and key moments.

 

All reports, photos, and video footage will be delivered to WWF-PSC-TVA Thailand via email within 7 days post-event. Photos will also be uploaded to a secure photo-sharing platform (e.g. Google Drive). The consultant will share the download link with WWF-PSC-TVA Thailand for further distribution to identified partners. The consultant will coordinate with the WWF-PSC-TVA Thailand team to ensure all deliverables meet their specific requirements and standards. Regular updates will be provided to WWF-PSC-TVA Thailand during the preparation and post-event phases to ensure smooth execution and delivery of all promised deliverables.

What type of event we are looking for:

  • The event should showcase WWF and partners’ dedication to sustainability, ensuring it is plastic-free and utilizes sustainable materials for press kits and souvenirs.
  • The event should highlight WWF as the central figure, emphasizing its ongoing conservation efforts and initiatives, highlighting our ownership on this initiative toward plastic free future.
  • The event and press release should be in line with WWF’s missions and guidelines, reinforcing their core values and goals.

What image/footage we are looking for:

  • Event highlights, capturing key moments and activities
  • Signing ceremony with the key representatives from all party present.
  • Portraits of key speakers
  • Executives with backdrop
  • WWF staff on site

Payment/Compensation

Payments will be made in installments, with a portion to be paid upon commencement and the remainder upon successful delivery of all required outputs.

Institutional Arrangement

The consultant will report to the project campaigner of WWF PSC-TVA and collaborate closely with the project manager and WWF Thailand communication team.  

Evaluation Method/Criteria

Consultants will be evaluated based on:

  • Relevant skills, knowledge, work experience
  • Proven track record of services provided and achievement
  • Financial proposal

Documentation Required

Interested consultants must submit:

  • A detailed and updated CV of consultants, experts, researchers
  • A financial proposal for the required timeframe as provided by this TOR
  • A summary of relevant services provided, and milestones achieved during the past 3 years including daily/hourly rate of each of the assignments
  • Documentary evidence demonstrating their legal, taxation and financial status. This includes:

– Tax identification number (TIN);

– Proof of a segregated account (providing the name and address of such account);

– A signed statement testifying that all information contained within the proposal is correct and true.

Interested consultants are invited to submit their proposals by 2 August 2024. The selection will be made based on the evaluation criteria, and the chosen consultant will be notified by 5 August 2024.
